Cryptoasset transaction records for tax

Cryptoasset tax records should cover transactions across exchanges and wallets, with dates, quantities, fees and sterling values where needed.

Jurisdiction: United Kingdom; devolved tax differences considered separately.

Cryptoasset tax records should cover transactions across exchanges and wallets, with dates, quantities, fees and sterling values where needed. Sales, exchanges and other disposals can matter even when no money reaches a UK bank account.

Separate movements between wallets under the same ownership from changes in ownership or asset type. Income from activities such as staking may require a different analysis from disposal gains.

Export the complete transaction history

Create an inventory of exchanges, wallets and protocols used during the period, including accounts you no longer use. Export transaction files before closing accounts or losing access. Preserve the original downloads and note the date range, time zone and currency settings. A current wallet balance cannot reconstruct a year's trading history, and a bank statement shows only the transactions that passed through the bank.

Use a working ledger to connect deposits, withdrawals, trades, rewards and fees. Keep transaction hashes and wallet addresses where they help identify matching entries, but never include private keys or recovery phrases in an adviser handover. The aim is to explain the economic transaction and ownership movement using records that can be checked without exposing control of the assets themselves.

Classify events before calculating gains

Selling tokens for sterling is only one possible disposal. Exchanging one token for another, spending tokens and certain gifts can also create Capital Gains Tax questions. HMRC requires transaction-level records and applies pooling and matching rules rather than simply taxing the amount withdrawn to a bank. An exchange's transaction report is useful evidence but is not automatically a UK tax calculation. [1]

Mark transfers between your own wallets separately and reconcile the outgoing and incoming entries, including fees. If ownership or the asset changes during a protocol transaction, do not classify it as a simple wallet transfer merely because the interface calls it a deposit. Put uncertain events into a review list with the transaction record and a short description of what the platform said would happen.

Separate income receipts from later disposals

Tokens received through employment, mining, staking or lending can require an income assessment. A later disposal of those tokens can create a separate gain or loss calculation. The sterling value and treatment at receipt therefore need to remain connected to the later disposal record; looking only at the final sale can miss the earlier tax event. [2]

For each reward stream, retain the platform statement, receipt dates, token quantities and valuation evidence. Explain whether rewards were automatically reinvested or exchanged. Avoid assigning every inbound transfer to income: it might instead be a purchase, a movement from another wallet or a return of assets. Conversely, an automatically compounded reward should not disappear from the records simply because you did not manually withdraw it.

Reconcile quantities and sterling valuations

Start each token schedule with the opening quantity and documented cost history, then reconcile additions, disposals and the closing balance. Investigate negative balances, unmatched transfers and duplicated imports before accepting a software result. Transactions from several exchanges may relate to the same token holding, so a calculation confined to one platform can omit information that changes the result.

Keep the sterling valuation source and time convention alongside unusual or high-value transactions. Where market data is unavailable, record the problem and obtain advice about a supportable approach rather than inserting zero for convenience. Review fees separately so they are not counted twice through both a net transaction value and an additional deduction. Capital gains records for investment disposals introduces the broader evidence issues around investment disposal records, although cryptoasset classification requires its own analysis.

Produce a reviewable annual output

A useful handover includes the untouched exports, reconciled ledger, token balances, income schedule, disposal calculation and unresolved-event list. State which years the records cover and whether earlier activity has been included in opening costs. If historic transactions are missing, explain their likely extent and the reconstruction undertaken. A polished summary cannot cure an incomplete acquisition history without that uncertainty being addressed.

For assistance with the tax preparation process, see Capital gains record review. Describe the number of platforms, transaction volume and types of activity before sending large exports. This helps establish whether the work is straightforward reporting or requires specialist analysis of complex arrangements. If earlier returns omitted transactions, raise that explicitly so the appropriate correction or disclosure route can be considered alongside the current year's work.

Save the final calculation together with the assumptions approved during review. Software may change its classification after a later update or a newly imported wallet. Keeping the reviewed version and its input files allows a future adviser to explain why the submitted figures differ from a fresh automated report, rather than treating every later software output as a correction.

Illustrative scenario

An investor swaps one token for another and later transfers holdings to a personal wallet. The records distinguish the swap from the transfer and retain the valuation evidence for the tax review.

Preparation checklist

  • Export all exchange histories
  • Identify wallet ownership
  • Record fees and sterling values
  • Separate income and disposal events

Frequently asked questions

Is tax only relevant when I withdraw pounds to my bank?

No. Token exchanges, spending, certain gifts and income receipts can matter before any bank withdrawal occurs.

Should I give an adviser my wallet recovery phrase?

No. Provide transaction exports and relevant public identifiers through an agreed secure process, never private keys or recovery phrases.

Can I use a single exchange's annual report as the final tax calculation?

Not without checking completeness, UK treatment and activity elsewhere. Transfers and holdings across platforms may need to be reconciled together.

How should I record staking rewards?

Keep receipt dates, quantities and sterling valuation evidence, then assess the income treatment and connect it to any later disposal calculation.
