A certificate is a sponsorship record, not immigration permission. Correct errors through the applicable sponsor process rather than telling the applicant to ignore inconsistent information.

Understand what a Certificate of Sponsorship does

A Certificate of Sponsorship, or CoS, is an electronic record assigned by an authorised sponsor. It contains information about the worker and sponsored role and provides a reference for the immigration application. It is not a paper certificate conferring permission to work, and assignment does not guarantee a visa. The sponsor and applicant must still meet the applicable route requirements. [1]

Begin with the route, the worker's location and the planned application type. The current guidance distinguishes Defined CoS for Skilled Workers applying from outside the UK from Undefined CoS used for Skilled Worker applications within the UK and other sponsored routes. The sponsor must use the correct type and process. Do not assume an unused allocation can be used for any candidate or any application. [1]

Gather consistent worker and employment information

Confirm the worker's identity details against their passport or relevant identity evidence, including full name, date of birth and nationality. Record contact details and the information required by the route. Resolve discrepancies before assignment rather than asking the applicant to choose whichever spelling appears on the latest email. Keep sensitive information in a controlled file and use a clear process for the worker to confirm factual accuracy.

Prepare the employing entity, occupation code, job title, duties, work location, salary and weekly hours. Where the role has a third-party working arrangement, maintenance certification or another route-specific feature, assess and record it accurately instead of selecting a default answer for convenience.

Coordinate assignment and application dates

The worker must generally use the CoS in an application within three months of assignment, and cannot apply more than three months before the employment start date stated on it. These are separate timing constraints. An employer assigning a CoS too early can create avoidable expiry or scheduling problems, even where the intended recruitment itself is genuine. [1]

Agree the proposed start and end dates with the worker and the business before assignment. Consider notice periods, evidence preparation and the appropriate application process. Published processing estimates do not guarantee a particular result date. If a start date changes before the application or decision, the sponsor guidance explains the appropriate reporting through a sponsor note; confirm the correct action rather than leaving the old date unexplained. Check costs and declarations before submission

The sponsor is responsible for the CoS fee and must observe the current restrictions on recovering that fee and associated administrative costs from sponsored workers. The Immigration Skills Charge, where applicable, also has employer-payment rules and cannot be passed on to the worker. Do not build the assignment process around a repayment clause without checking these restrictions. [1]

Review every declaration and factual field before the authorised user submits the record. A second factual check by the responsible manager or worker can identify a wrong passport number, salary or work address, but it does not transfer the sponsor's responsibility. Keep the final approved information and assignment confirmation. Treat the CoS reference as confidential and share it securely with the intended applicant.

Manage corrections and the outcome record

If an error is discovered, establish whether the guidance permits a sponsor note or whether another action is needed. Do not assume every material error can be corrected informally by email. The correct response can depend on whether the CoS has been assigned, used, withdrawn or expired and on the nature of the mistake. Preserve the chronology so an adviser can assess the actual stage.

Case-specific immigration advice must be given by an appropriately regulated or otherwise legally authorised adviser. Ask who will assign, check and monitor the record, and who will act if the application timetable changes. After a decision, reconcile the result with the CoS and employment plan. A status change in the sponsorship system should not be treated as proof that the worker can start without reviewing their actual permission and completing the required right-to-work check. Keep any follow-up reporting or correction action under named ownership.
