Build a dividend schedule by source and year

List dividends from an owner-managed company and investment holdings separately. Record the payer, payment date, gross amount, any foreign tax and the supporting voucher or statement. Keep the UK tax year distinct from a platform's calendar-year summary. A withdrawal from an investment account may contain earlier dividends, sale proceeds and capital, so it should not be treated as the dividend figure without tracing the underlying events.

Dividend tax depends on the relevant year's allowances, rates and the person's wider income. HMRC's current table distinguishes the 2026–27 rates from earlier years, so a calculation for 2025–26 should not automatically use the latest displayed rates. Dividends from shares in an ISA have separate treatment. Keep taxable and tax-advantaged holdings identifiable rather than combining every distribution into one unreviewed total. [1]

Distinguish dividends from other company payments

For an owner-managed company, reconcile dividend vouchers and the company's records with amounts credited or paid to the shareholder. Separate salary, expense repayments and director-loan movements. A transfer labelled 'dividend' in online banking does not, by itself, establish that the company properly declared a dividend or that the date and amount in the personal record are correct. Obtain the underlying company evidence.

If the records disagree, ask the company accountant to explain the authorised distribution and any correction needed. Do not retrospectively relabel cash withdrawals merely to match a preferred personal tax outcome. Keep the company-law and accounting questions distinct from the shareholder's tax calculation. A correct tax rate applied to an unsupported dividend amount does not make the underlying payment record reliable.

Include reinvested and non-cash events for review

Check whether dividends were paid into cash, used to buy more shares or otherwise applied under the investment arrangement. Reinvestment does not necessarily remove the income event. Keep the dividend and the resulting acquisition identifiable so the income is not omitted and the new holding's cost history remains explainable. A year-end quantity statement alone may not show how the additional units arose.

Review distributions from funds, trusts or overseas entities using the relevant tax documentation. The word 'dividend' on a platform report may not settle the UK classification of every payment. Ask for issuer statements or tax vouchers where the nature is unclear. Avoid combining interest distributions, capital returns and ordinary company dividends simply because they arrive in the same investment account.

Reconcile foreign tax and other income

For foreign dividends, retain the gross amount, withholding tax and currency information. Assess any treaty or credit-relief position under the applicable rules rather than reporting only the net cash received. If a FIG claim or another special regime may apply, identify that as a separate review. The existence of a foreign deduction does not automatically establish the final UK liability or remove reporting requirements.

Provide the adviser with other income relevant to the dividend calculation, including employment, pensions and rental income. A shareholder's dividend tax cannot always be calculated by multiplying all dividends by one rate chosen from salary alone. Keep any estimates clearly labelled and reconcile them with final documents. The calculation should reflect the complete relevant income position for the tax year, not a snapshot from one payslip.

Confirm reporting and retain the evidence

Check the appropriate HMRC reporting route for the amount and circumstances, including any notice to file already issued. Do not assume that a company reporting its own accounts automatically reports the shareholder's personal dividend tax. Keep the submitted figures, calculation and payment evidence with the dividend schedule. If later corrections arise, identify the affected year and the proper amendment process.
