Dividend income should be supported by dividend vouchers and investment statements, with the tax year and recipient clearly identified. Distinguish dividends from salary, director loan movements and other company payments before entering figures in Self Assessment.
Keep domestic and overseas holdings separate where reporting differs. An allowance can affect tax due without eliminating the need to assess reporting obligations.
Identify what each company payment represents
List dividend vouchers and investment statements for the tax year, identifying the recipient and the company or fund. Keep salary, expense reimbursements, loan repayments and other movements separate. A transfer from an owner-managed company is not established as a dividend merely because the bank description uses that word.
Where a voucher is missing, obtain the relevant company record and reconcile the amount and date. Do not create a personal dividend figure solely from withdrawals from the business account. If the underlying company decision or available-profit assessment is unclear, raise that as a separate issue. The guide to Dividend records and company profits explains the company-side records that support a distribution and should connect with the shareholder's personal information.
Distinguish taxable holdings from wrappers
Identify whether shares are held personally in an ordinary investment account or within an arrangement such as an ISA. HMRC explains that dividends within an ISA are treated differently from ordinary taxable dividend income. [1] Keep the account type visible on the schedule so an annual platform statement is not copied indiscriminately into the return.
For joint accounts, inherited holdings or nominee arrangements, establish the relevant ownership and recipient facts. A consolidated statement may contain more than one person's interests or several account types. Ask the provider for a useful breakdown where necessary. Do not assume that the name on the login screen determines who must report every item shown in the portfolio.
Reconcile distributions that do not reach the bank
Check whether dividends were reinvested or used to buy additional units. The absence of a cash withdrawal does not necessarily mean there is no relevant income to assess. Keep distribution and transaction statements and distinguish the income question from the cost record for a later disposal. These records serve related but different tax purposes.
Some investment products produce distributions with a particular tax character rather than an ordinary company dividend. Preserve the provider's tax statement and identify unfamiliar descriptions for review. Avoid relabelling every investment credit as dividend income simply to fit one spreadsheet column. The accountant needs the underlying classification and any foreign withholding information to decide the appropriate reporting treatment.
Apply the rules for the correct tax year
HMRC publishes dividend allowances and rates by tax year. [1] Check the year explicitly, especially where the return being prepared covers 2025–26 while current income arises in 2026–27. A current website rate should not be applied retrospectively to the earlier year's calculation, and an old spreadsheet should not be assumed suitable for the new year.
Review dividends alongside the person's other income rather than calculating them in isolation. An allowance may reduce the tax charged without making the income irrelevant to the wider assessment. Ask the accountant to explain any interaction that materially affects the result. Keep the gross income records intact rather than subtracting an allowance from each individual company's voucher before supplying the figures.
Organise foreign and irregular distributions
Separate UK and overseas holdings and retain original currency amounts, foreign tax deductions and the provider's explanation. Foreign distributions may require additional analysis of residence, income character and relief. Use Self Assessment and foreign income for the foreign-income preparation questions. Do not assume that tax withheld overseas settles the UK position or that a foreign payment is exempt merely because it stayed in the investment account.
Flag special distributions, liquidation proceeds, returns of capital and corporate actions for review. Their treatment should follow the actual event and documentation, not the general label used by a broker's cash ledger. Keep the transaction notices with the annual tax statement so the preparer can identify whether an income, capital or other question needs to be addressed.
For Self Assessment tax return support, supply a dividend schedule linked to vouchers and provider statements, with account types and recipients clearly identified. Explain any difference between company records and personal bank receipts. Ask for a reconciliation of the total reported and the tax-year rules used. Preserve that schedule with the return and the investment records so later corrections or disposals can be assessed without rebuilding the history from scattered statements. Request missing provider statements before closing or transferring an investment account. Access to a current portfolio screen may not preserve the historic distribution detail needed for the completed tax year.
Illustrative scenario
A shareholder receives quarterly company dividends and distributions from an investment account. They reconcile vouchers to statements and exclude a repayment of money previously lent to the company.
Preparation checklist
- Collect dividend vouchers
- Confirm the recipient
- Identify overseas distributions
- Separate loans and salary
Frequently asked questions
Is every withdrawal from my company a dividend?
No. Establish the underlying transaction and supporting company records. Salary, loans, reimbursements and distributions have different implications and should not be combined under a convenient bank label.
Do reinvested dividends need consideration?
Yes. Reinvestment does not by itself remove the income question. Keep the provider's distribution and transaction records so both income reporting and later investment-cost records can be assessed.
Should I deduct the dividend allowance from each voucher?
Provide the full relevant figures and let the overall calculation apply the applicable rules. Deducting an allowance separately from multiple payments can distort the information supplied for the return.
Can I use today's rates for last year's return?
Use the rates and allowances for the tax year being reported. Keep current-year planning separate, especially when rates have changed between the completed year and the present period.
